The below Participation Waiver and Agreement Terms are based on standard national documents created for Senior Games events nationwide and are not exclusive to the Sun Lakes Games. You will need to sign these documents during registration.
A participation waiver is a legally binding document that protects the Senior Games Team from liability. This helps protect our organization from potential lawsuits related to injuries that may occur during games, practices, and other events. If you are uncomfortable agreeing with this, please do not participate in the games, but do come by to watch and support your community players.
Agreement terms are important for sporting events for a variety of reasons, particularly for clarity. The Written Agreement is legally binding and will help avoid misunderstandings about responsibilities, timelines, and payments. SECTION ONE Waiver of Liability
1. I understand and acknowledge that neither Sun Lakes Entertainment dba Senior Games at Sun Lakes, nor any of its volunteers or representatives, are responsible for any injuries or damages I may sustain, personal and otherwise, during my participation in the Senior Games at Sun Lakes.
2. I voluntarily assume full responsibility for any risks of loss, property damage, or personal injury, including death, which may be sustained by me because of my participation in the Senior Games at Sun Lakes.
3. I hereby release, waive, discharge, and covenant not to sue Sun Lakes Entertainment, dba Senior Games at Sun Lakes, its officers, employees, agents, volunteers, and representatives from any and all liability, claims, demands, actions, and causes of action whatsoever arising out of or related to any loss, damage, or injury, including death, that may be sustained by me, or to any property belonging to me, while participating in the Senior Games at Sun Lakes or any of the activities associated with the Games.
4. I understand that this waiver of liability applies to any and all claims, demands, or causes of action because of any injury, loss, or damage arising out of or related to my participation in the Senior Games at Sun Lakes, whether caused by the negligence of Sun Lakes Entertainment, dba Senior Games at Sun Lakes, its officers, employees, volunteers, agents, or otherwise.
5. I understand that Sun Lakes Entertainment, dba Senior Games at Sun Lakes does not provide any insurance coverage for me relating to my participation in the Senior Games at Sun Lakes, and I am responsible for obtaining any medical coverage or other insurance that I believe necessary to cover any personal injury or property damage that may occur.
6. I understand that this waiver of liability is intended to be as broad and inclusive as permitted by the laws of Arizona Maricopa County in which Sun Lakes Entertainment, dba Senior Games at Sun Lakes operates and that if any portion thereof is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect.
You will need to sign that you acknowledge, have read and understand this waiver of liability and voluntarily agree to its terms at registration.

SECTION TWO AGREEMENT TERMS
The following is general information that you will need to know before you register.
The below Agreement Terms are based on standard national documents for similar Senior Games events nationwide and are not exclusive to the Sun Lakes Games. You will need to sign these documents during registration.
Our payment processor, Cheddar-Up, and/or SL SR Game may appear next to your charge on your credit card.
GAME DATES AND TIMES: March 14 - April 4, 2025
Games times will vary so please check our website http://www.sunlakesentertainment.com and click on a link for information regarding your sport.
GAMES ARE OPEN TO: All HOA card holding residents/renters of Sun Lakes. All are welcome!
FEES: Early-Bird Registration: $5.00/game: Nov 8 -Dec 6
Standard Registration Fees: $7.00/game Dec 7– Feb 10
AGREEMENTS: All players are required to accept the terms of the Waiver of Liability which includes the Code of Conduct on the registration site.
REGISTRATION AND PAYMENT: On-line registration is available at http://www.sunlakesentertainment.com and will be linked to "Cheddar-Up", the secure registration site. First time users to this site will need to create a username and password in order to return to this site to access any information regarding your games/purchase. You will need to agree to these terms and games waiver documents.
YOU WILL BE TRANSFERRED to our secure payment processor, Cheddar-Up. Either Cheddar-Up and/or SL SR Game may appear next to your charge on your credit card. Registration closes on Feb 10, 2025. Specific start times for each game will be determined based on the number of registrants. A detailed schedule of games and start times will be posted on the http://www.sunlakesentertainment.com website, no later than March 5, 2025.
CONFIRMATION: Participants will receive an email confirmation when they register. PLEASE BRING YOUR CONFIRMATION (PRINTED OR ON YOUR PHONE) WHEN YOU CHECK IN AT OUR EVENT.
CHECK IN: All participants are expected to check in at their game venue no less than 30 minutes prior to the time indicated on the Games Information Sheet. You must check in personally with a Valid Homeowners Card.
DOUBLES (TEAMS OF TWO): This only applies to those activities that are played in teams of two/doubles. For games that are played as 2-member teams or Doubles, players are encouraged to recruit their own partner prior to registering. If you do not find a partner, we will match you up with another randomly selected solo player. Note that there are separate registration links for those registering with their own partner, versus those individuals registering to be matched with a partner.
AWARDS: Individual awards will be given to first and second place winners the day of the game. All participants will earn community points. The community award will be presented in a ceremony during the Awards Celebration event at the close of the games. Awards cannot be mailed.
COMMUNITY POINTS TO WIN THE TROPHY: Points will be awarded to each community and the community with the most points will win the trophy. Signing up for a game gets you 100 community points. First place gets an additional 100 points. Second place gets an additional 50 points - i.e. Player Participant = 100 points, First place = 200 points, Second place = 150 points.
REFUNDS: We made every effort to limit operational costs to keep game registration fees at a minimum. As such, we will not be able to grant refunds due to a participant canceling or due to a game being canceled due to inclement weather. All registration fees are non-refundable. However, consideration will be given for family bereavement or serious medical conditions resulting in inability to participate. Please send request via email to sunlakesentertainment@yahoo.com no later than April 4, 2025.
INDIVIDUAL CANCELLATION: Individual refund requests based on cancellation before the games must be emailed to sunlakesentertainment@yahoo.com BEFORE March 1, 2025. Refund requests received after this date are non-refundable. Refunds will be issued by the end of the tournament at 50% of the registration fees paid. No refunds will be made due to cancellation of an event because of inclement weather.
TEAM CANCELLATION: All team registration fees are non-refundable. However, as a courtesy to the other teams in the tournament and to make the games the best event possible, please notify us if you must cancel. This may allow for another team to register in the tournament.
INCLEMENT WEATHER: Every effort will be made to complete all events. A “rain or shine” policy will prevail unless there are safety issues. No refunds will be issued due to weather or circumstances beyond our control.
CONDUCT: We reserve the right to expel any player from any competition for the display of unsportsmanlike conduct. We expect every player to treat all fellow players and volunteers with respect and good will.
PROTEST POLICY: Any person desiring to make a protest with regard to any aspect of competition at the Sun Lakes Senior Games (SLSG) shall make such protest to the games manager of the competition in question. A protest fee of $15 cash for an individual or $30 cash fee for a team and a completed Protest Form must be received within 30 minutes of the conclusion of the game, match, heat, or event under protest. Game Managers will have the blank protest forms. Protests after this time WILL NOT be considered. The Games Manager and Director of Games Operations will evaluate the protest and render a decision. If the Director of Games Operations is unavailable, another Board Director can evaluate the protest and issue a ruling or determine if further input is necessary. If the protest is valid, the $15/$30 charge will be reimbursed to the person submitting the protest. If the protest is not valid, the SLSG reserves the right to retain the Protest Fee. All decisions by the SLSG Director of Games Operations are final and not subject to further appeal.
SPECTATORS: Spectators are welcome in designated seating areas; spectators may need to bring their own chairs.
HEALTH AND SAFETY: Because people over 50 are considered to be at higher risk for serious illnesses, many people choose to wear masks and/or socially distance themselves whenever possible. We support and respect athletes who choose to do so, as well as those who do not, and we ask that you exhibit good will and sportsmanship behavior to all athletes. We are all part of this movement because we value health, well-being, friendship, and camaraderie, and there is no greater way to show that than by respecting the health decisions of others.
PHOTO DISCLAIMER: Please note that photographs and footage will be taken throughout all events. These will be used for publicity in the Splash publications, on our website and in social media or in any third-party publication. Registering for a Senior Games event gives permission for photos to be used of any attendee.
